Over the last two months we've all dealt with stress, frustration and uncertainty over what lies ahead. Like many independent businesses, we've struggled to find our path forward, but we're working hard to come out of this better on the other side.

Below are a few of the changes we've made to make life easier for you as we navigate this new normal. We'd love your input on anything that would make your personal experience with Greenvans better.

FREE VAN DELIVERY

For safety, ease, and to minimize human contact, we're offering free delivery within 25 miles of our main locations for the rest of 2020.

FLEXIBLE RESERVATIONS

We know that flexibility is a key concern. If your plans change, all reservation deposits will be 100% refundable through the rest of 2020 and rescheduling options will be available into 2021.

* If you are one of the many customers who recently canceled a rental and are still waiting on a refund, we haven't forgotten about you and are moving as fast as we can!

NEW VANS & IMPROVED CLEANING PROCEDURES

Unfortunately for us, we received our brand new 2020 fleet just a few days before the world stopped. Fortunately for you, upcoming rentals will all receive new vans with little-to-no customer contact! Each van will be removed from service, deep cleaned and sanitized between every rental.

NO-CONTACT PICK-UPS & RETURNS

We've never had a "rental counter." We've been perfecting our no-contact and digital pick-up/return process for years, so no-contact is no-problem!

 

Eventually the time for tours, road trips and family vacations will be upon us again, and we want you to know we’ll still be here and ready to go when the time comes.

Rental Requirements

Anyone who plans on driving one of our vans must have their own personal auto insurance with collision and liability coverage. We must see proof of insurance for all drivers before we can release the van. If you do not have a personal auto policy, or you are not from the US, please contact us for more information.

In addition to your personal auto policy, we do offer some supplemental protection. These are NOT USED IN PLACE of your existing auto insurance - we offer them as supplement to your existing coverage. Further information, including coverage details and examples can be found here.

Renter's Collision Protection (RCP):

In the event of an accident, you (or your insurance provider) are responsible for any damage to our van, regardless of fault. Renter's Collision Protection (RCP) is an additional form of coverage that may be purchased before the start of your rental. This eliminates your financial responsibility for any physical damage caused to our van by collision, vandalism, fire, windstorm or hail (up to $20,000 in damage). If you have purchased RCP for your rental and are involved in an accident that results in damage to our vehicle, you would only be responsible for a $250 deductible and would not have to submit a separate claim to your insurance company.

You are not required to purchase RCP - If you are involved in accident during your rental that results in damage to our vehicle, you must either immediately reimburse Greenvans for the cost of the damage or submit a loss claim to your insurance company and they will pay us on your behalf. The renter would be responsible for whatever deductible that your insurance company charges (this varies greatly - depending on your policy), and any additional points/surcharges added to your insurance premium as a result of the loss.

RCP does NOT cover damage to other vehicles or property - only damage to our vehicle.

If you do not have full coverage insurance (meaning liability but no collision), purchasing RCP from Greenvans will satisfy our minimum collision protection requirements.

Supplemental Liability Insurance (SLI):

Supplemental Liability Insurance (SLI) is an optional coverage that protects you against third party liability claims as a result of an accident during your rental period. SLI provides additional liability coverage beyond the limits of your primary liability policy up to $1 million. SLI DOES NOT PROVIDE PRIMARY LIABILITY COVERAGE. If you purchase SLI from Greenvans, each of your drivers must still carry his or her own primary liability coverage.

Personal Effects & Personal Accident Insurance (PEI/PAI):

Personal Effects Insurance (PEI) is an optional coverage that provides you with limited coverage from loss or damage to your personal belongings caused by theft, damage, or accident to the rental vehicle.

Personal Accident Insurance (PAI) provides you with accidental death coverage, accidental medical expense coverage, and travel assistance while you are in one of our vehicles during the rental period.

PAI/PEI is sold as a package only.

Coverage Limits:

Personal Effects Coverage: $525 per person max.
Deductible per claim: $25

Accidental Death Benefit to Renter: $100,000
Accidental Death Benefit to Passenger: $10,000
Accidental Medical Expense & Ambulance Fee: $1,000
Deductible per claim: $25

Our normal driving age requirement is 25, however we temporarily lowered the requirement to 21 (with approval from management) due to the COVID-19 pandemic.

We require 30% of the total rental fee in advance to reserve the van. This fee is non-refundable and required to secure the reservation. The remaining balance is due when you pick-up and any additional charges (tolls & mileage overages) will be charged at the end of your rental.

For rentals longer than 14 days, you will be charged weekly payments ( 7 x Daily Rental Rate) throughout the rental period. Any remaining balance, including additional charges (tolls & mileage overages) will be charged at the end of your rental.

If the rental balance is not paid in full by the end of the rental period, a late fee of 10% (of the open balance) will accrue every seven days past due.

Deposit payments must be made with a credit/debit card as a valid card will be needed on file prior to the start of your rental. Any additional payments, upon approval and prior arrangement, can be made with a credit/debit card, check, bank transfer, PayPal or cash.

For payments made using a debit card, there will be an additional $250 authorization placed on your card for any incidentals during the duration of your rental.

There is no extra charge for additional drivers as long as they meet our insurance and age requirements. All drivers do NOT need to be present at pickup. Once your reservation is confirmed you'll receive a secure submission link so all of your drivers can send in their license and insurance info in advance.

Our main offices are in Philadelphia, Los Angeles, and Chicago. Boston & NYC area rentals are serviced via delivery from our Philadelphia location. We can also deliver your van to nearby airports and train stations for an additional fee. If you need a van delivered to a different city or a specific location, please contact us directly.

We rent three models of 15 passenger vans: Ford Transit 350 XLT Mid-Roof, Ford Transit 350 XLT Low-Roof, and Ford E-350 Super Duty. For more information about our fleet, visit our vans page.

Yep! We can remove up to two rows of seats to make room for gear or luggage. Check out our vans page for more info.

Our passenger vans have seat belts for 15 people max including the driver. With one row of seats removed there are seat belts for 11 passengers. With two rows of seats removed there are seat belts for eight passengers. For more information on our vans and seating arrangements, please visit the "Our Vans" section of our site.

The sooner, the better. We recommend making a reservation once you know which dates you will need a van, even if you don't have all of the other details sorted yet. We usually book up at least 30 days in advance, but will always try to accommodate last minute rentals based on availability. We require at least 48 hours notice to make a reservation online.

There is a three day minimum, but no maximum. Boston & New York City rentals have a five day minimum.

Nope! We deal with many international rental customers. However, if you plan to drive the van yourself you’ll need to get a US auto insurance policy. We have a few great contacts that provide temporary non-owners insurance policies for international bands. Please contact us and we’ll direct you to the appropriate agent. Alternatively, you can choose to hire a driver with a valid operator’s license and acceptable insurance.

We do allow our vans into Canada, but not Mexico.

The 30% reservation fee is non-refundable. If you need to cancel at any point before the rental period begins, you are not responsible for the remaining balance. Once your rental period is in progress, you are responsible for the full amount of the original rental. In the case of a cancellation, your deposit may be used towards a future rental.

Yes! We charge an additional towing fee of $12 per day. All of our vans have Class 4 hitch receivers but we don't provide draw-bars or ball mounts. Some of our vans include a 7-pin wiring harness and brake controller for larger trailers, but please let us know in advance if this is something you need. We do not rent trailers.

Yes. We allow 300 free miles per day over the course of your rental. We charge $0.39 per mile over that limit. For example, if you have a 10 day rental, you'll have 3000 free miles total. If you travel 3500 miles, your mileage charge will be $195 (500 x $0.39).

All of our van rentals come with an E-ZPass transponder. We'll bill you for your toll charges after your rental is complete.

We reimburse for all oil changes, safety inspections, vehicle repairs, and all other approved services on the road. Even though we pay for it, it is your responsibility to make sure you bring the van in for an oil change at the appropriate mileage. Regular oil changes must be performed every 5,000 miles. Submit your receipts to us at the end of the rental and we’ll reimburse you for all maintenance expenses. If you exceed the required oil change mileage you will be charged $0.50 for every mile over the limit.

For exceptionally long tours, you may be required to bring the van to a shop for additional maintenance. If necessary, we can help schedule a service appointment at a trustworthy shop — and, of course — we’ll reimburse you for all service performed. Please let us know before you bring our van to a shop for anything other than an oil change. We must approve any service before it is performed.

Breakdowns and mechanical issues are rare, but they do happen. First and foremost, we take excellent care of our vehicles. All of our vans are dealer serviced before and after ever rental, we don't cut corners when it comes to preventive maintenance and safety.

For minor issues like a flat tire, dead battery or lock out, you'll find our roadside assistance number in your van's glove compartment. This service is available 24/7 for your convenience. If you experience any other major issue, get yourself to a safe place and call our emergency line as soon as possible to let us know.

We'll assess the severity of your situation and make a plan. If necessary, well make arrangements for a tow company to bring your van to the nearest Ford dealer or nearby service department for repairs. Depending on the issue and where you are in the country, the timeline for repairs varies greatly. Some issues can be resolved the same day, but some will need more time. If circumstances force your vehicle to require more than two days worth of repairs, we'll make arrangements to either send a new van of ours to you as quickly as possible, or find you a replacement vehicle from another company (either temporarily or for the remainder of your rental).  We cover all expenses associated with a van breakdown including any towing charges, repair costs and if the breakdown requires you to stay overnight, we'll cover up to two hotel rooms.

Please keep in mind that we treat issues with our vans very seriously and we're working with you to make sure you're able to keep your schedule. Our team is very good at crisis management in these situations, but sometimes there are circumstances beyond our control. We are not liable for any lost revenue or downtime due to mechanical issues.

We do! You can make a reservation for pick-up and return between any of our locations here. Additional fees apply between certain locations. If you need a one-way rental to or from a custom location please contact us directly for pricing.

Each of our locations has different hours and days of operation but all pick-ups are by appointment only. We can accommodate returns outside of our normal business hours at certain locations with at least 48 hours notice. Please visit our individual location pages for more information.

No smoking of any kind is allowed in our vans. A $250 cleaning fee will be charged if there's evidence of smoking in our van during your rental.
